Cancellation before COE: If a student cancels their enrolment before the Confirmation of Enrolment (COE) is issued, they are entitled to a full refund of all course fees paid.
Cancellation after COE but before Commencement: If a student cancels after the COE is issued but before the course commencement date, they are entitled to a refund of course fees paid, less a $330 administration fee.
Withdrawal within 28 days of Commencement: If a student withdraws from the course within 28 days of the course commencement date (as specified on the COE), they are entitled to a refund of course fees paid, less a $330 administration fee and an additional $350 per commenced unit as per the course timetable.
Withdrawal after 28 days of Commencement: If a student withdraws after 28 days from the course commencement date, they are liable for the full course fees, and no refund will be issued.
For VET Student Loan students, a re-credit of their FEE-HELP balance may be considered under special circumstances. These are defined as situations beyond the student's control, which are unusual, uncommon, or abnormal, and not due to their direct or indirect action or inaction. Special circumstances do not include a lack of knowledge or understanding of VET Student Loans requirements, or an incapacity to repay a VET Student Loans debt. Each application for re-credit is considered on its merits with supporting documentation and is assessed by the Training Coordinator.
Students who do not wish to continue with direct debit payments must submit a written request to cancel their arrangement and agree to an alternative payment arrangement approved by Hammond Institute; scheduled direct debit payments may continue until formal cancellation and new arrangement confirmation.
If Hammond Institute initiates an administrative cancellation, Student Services will email the student regarding the proposed cancellation, refer them to the Complaints, Appeals and Grievance Policy, and allow at least 28 days for grievance procedures to be initiated before the cancellation takes final effect. The cancellation will be withheld until any initiated grievance procedures are completed, and a written confirmation regarding which fees, if any, will or will not be refunded will be provided. If no grievance procedures are initiated after 28 days, formal cancellation will proceed via written email.
